Please read prior to completing your enrolment. Version: 3.2

 
Please find below a copy of our Terms and Conditions of enrolment. By completing the online enrolment process, you have acknowledged you have read, understood and agree to the following:

Attendance

  • We operate in line with Victorian school terms (public) and it is your responsibility to attend each of your lessons.
  • If you are unable to attend due to personal holidays, a sore leg/arm etc., school camp, illness or over committing to other activities it is not our responsibility and students will not be offered a credit, refund or make-up class.
  • Lessons cancelled (coach illness, venue unavailability, heat out or wash out) will be re-scheduled typically for the Sunday after the missed lesson and in the format at the discretion of Keystone Tennis. Some make up lessons may carry over and will need to be scheduled in the school holidays.Changes to lesson schedules
  • Occasionally we may have to make changes to our published schedule, including; cancelling, creating an additional or changing the day and/or time of a lesson. We will endeavor to complete any necessary changes by the end of week one of term or well in advance of the following term. Anyone who has already enrolled in a scheduled lesson that is subsequently cancelled or changed will be offered alternative options.


Enrolments
Enrolments are managed through our secure online software.

For NEW students:

  • New students are defined as those whom have not before been a student of Keystone Tennis.
  • Upfront payment secures your position in our program for your first term.
  • To save you re-enrolling every term and risk loosing your position in your desired class, your enrolment will then automatically roll over to the following term.


For RETURNING students:

  • Returning students are defined as those whom were not enrolled the term before.
  • Returning students will need to follow the new student process to secure their position in our program.


For EXISTING students:

  • Your enrolment will automatically roll over to the following term if your invoice was paid by the due date (third Friday of term). You do not need to re-enroll online each term.
  • Parent/s will be sent an electronic invoice before the third week of term. Payment instructions are located on your invoice.
  • Each term, your invoice is due by the third Friday of term.
  • Overdue invoices will incur a 10% accruing late fee. Your invoice will then be reissued every Friday with the additional late fee added.
  • If your invoice becomes overdue, you will not be offered any make up lessons from the commencement of week four of term. For example; if there is a wash out during week four, you will not be invited to attend the make up lesson offered.
  • If your invoice becomes overdue, your enrolment will not roll over to the following term. You will need to re-enroll your child.
  • Venue schedules evolve and existing students will be notified of their lesson time/s for the term ahead, the week before term commences.


Enrolment withdrawal
If you wish to withdraw your enrolment for the following term, we ask you do so via email by the third last Friday of each term. Otherwise, your position in our program will roll over and you will be invoiced as your position in the program has been saved.


Extreme Heat
The most accurate method for determining the environmental conditions at which tennis should be suspended is by using the Apparent Temperature method, also known as the Heat index. Heat stress is a serious health risk and the purpose of this policy is to manage such risk. Cancellation of one lesson does not necessarily mean that other lessons will be cancelled that day. If you choose not to attend on doubtful days, then you risk missing the class if it takes place and you will not be offered a make up lesson. Lessons cancelled due to heat will be re-scheduled and in the format at the discretion of Keystone Tennis.

Medical Consent
I hear-by verify that I/my child is physically fit to play the non contact sport of Tennis. In addition, I authorise any emergency treatment deemed necessary for myself to be administered by trained medics of Keystone Tennis and agree not to hold Keystone Tennis liable for any injuries. I will declare (in writing) to Keystone Tennis any allergic reactions, any medications, any pre-existing conditions or if I believe there are any other conditions that Keystone Tennis should know about at the time of enrolment (before my/my child's first lesson).

Payments and refunds
No refunds or make ups will be offered for non-attendance at lessons e.g; personal holidays, a sore leg/arm etc., school camp, illness or over-committing to other activities. A credit may be available if you have a legitimate medical reason (supported by a medical certificate), which prevents you from attending three or more consecutive lessons. Coaches try to be as flexible as possible but their time is capped to full time or part time hours.

For NEW students:
Upfront payment secures your position in our program for your first term. You will not be able to attend until you have completed your online enrolment prior to your first lesson. This is for insurance purposes and to manage the standard and size of classes for coaches ands students.

For EXISTING clients:
Parents will be sent an electronic invoice. Payment instructions are located on the invoice and due by the third Friday of each term. Late fees will be applied (10% per week, accruing) should your invoice not be paid by the due date. Should your invoice become overdue, you then risk your position within the program when a class has a waiting list.

Private lessons
Private lessons offer little flexibility and with such high demand for lessons, we operate via the following:

  • If you are seeking a private lesson, we suggest you consider a before school/work or daytime lesson to avoid waiting for a day/time to become available. We have numerous Tennis Australia qualified coaches who conduct private lessons which offers students flexibility.
  • When waiting lists exist, priority will be given to students who are 'active' players. Active players are defined as those whom are currently a member of Shepparton Lawn or Benalla Lawn and/or are currently participating in Tennis Australia Player Pathway events e.g; local junior competition, Super 10s, Super 12s, JDS, JT, AMT and ITF tournaments.
  • No refunds or make up classes will be offered for non-attendance due to personal holidays, a sore leg/arm etc., school camp, illness or over-committing to other activities it is not our responsibility and students will not be offered a credit, refund or make-up class.
  • Please do not enroll into a private lesson/s if you cannot commit to your allocated time.


Make up lessons

  • A maximum of two make up lessons will be offered per class, per term (including for wash outs and heat outs). An alternative program, such as strength and conditioning or a class of equivalent nature may be offered if tennis courts are unable to be used.
  • Make up lessons are scheduled around coach and court availability.
  • Make ups will not be credited or refunded if you are unavailable at the scheduled times.
  • Make up lessons do not transfer from one term to the next.


Public Holidays

Keystone Tennis does not operate on Public Holidays and invoices are reflective.

Publicity Consent
I hear by consent to Keystone Tennis taking, retaining, reproducing and using my image or likeness in Keystone Tennis publications whether hard copy, electronic or online for promotional, advertising or marketing purposes without any compensation to me or my assigns. I acknowledge that all records that are obtained by or on my behalf of Keystone Tennis shall remain the property of Keystone Tennis.

Schedules

Each term we endeavour to be as pro active and organised as possible. However; we do have to allow some flexibility in venue schedules for growth each term. We therefore advise that we may make changes to venue schedules in the first few weeks of each term. Us being organised is often limited by how organised clients are. Client flexibility and understanding is appreciated.


Supervision
Keystone Tennis coaches are not responsible for supervising student's outside of their lesson time.

Wet weather
On wet days, the decision to cancel lessons will be made at venues immediately prior (15-30mins) to the lesson start time. Cancellation of one lesson does not necessarily mean that other lessons will be cancelled that day. If you choose not to attend on doubtful days, then your risk missing the class if it takes place and a make-up lesson will not be offered. Lessons cancelled will be re-scheduled and in the format at the discretion of Keystone Tennis.
